What's the process?
1. Receive a Tailor-Made Quotation
Once you have decided on a destination and we have received the full details of your requirements, your subject specialist will create a tailor-made quotation including sample itinerary, suggested accommodation (if applicable), recommended activities and a tour price. Should you have any questions or wish to make any changes to your quotation, your subject specialist will be more than happy to discuss this with you to ensure that the final product is a fantastic and memorable school trip!
2. Make a Provisional Booking
Once you are happy with your quote, you will need to check the availability of your desired dates. You can do this by making a provisional booking. Please note that this holds no obligation; it simply means that we will hold the space for your group for up to 30 days from the point of booking, giving you time to seek approval from your Head or Local Authority. You can also use this time to promote your trip to students and parents.
3. Promote Your School Trip
We recommend you start to advertise as early as possible. To help you with promoting your school trip, we have designed a number of resources that you are welcome to use, including a sample letter to parents, destination posters and a PowerPoint presentation. 4. Confirm Your Booking
Once you have advertised your school trip, you can collect the deposits. At this point, if the passenger numbers are significantly higher or lower than expected, please let us know. Otherwise, once you have collected all the deposits (as stated on your initial quote), please forward them to us, together with a completed booking form, which can be downloaded here. Once we have received this, we will send you an acknowledgement pack, which will contain your invoice and insurance documents. You will now be assigned a dedicated Itinerary Coordinator.
5. Finalise the Details of Your School Trip
Your Itinerary Coordinator will work closely with you to finalise the details of your school trip. Once this has been confirmed, you will be sent our Group Leader pack, which will include all the important and useful information relating to your trip.
