The Itineraries Coordinator is responsible for the end-to-end operational planning and delivery of school tours, ensuring all travel arrangements, supplier bookings and itinerary details are coordinated accurately and efficiently. Working closely with group leaders, accommodation providers, transport partners and internal teams, the role ensures tours run smoothly, customer expectations are met, and every trip is delivered to the highest standards of organisation, service and safety.
Responsibilities
- Liaise regularly with the group leader from the booking stage until the trip returns, ensuring high service levels are met.
- Calculate timings and make reservations for all trip activities, such as attraction visits, ski school, ski passes, equipment hire and evening events, museum visits, meals, etc.
- Liaise with accommodation centres regarding rooming requirements, meal arrangements and general enquiries.
- Work with the accommodation centres and airlines to update on passenger changes, name changes, dietary requirements, etc.
- Work closely with the group leaders to answer any queries they have in relation to their tour in a timely manner.
- Build final itineraries and information packs for Group Leaders.
- Maintain accurate records on internal systems, ensuring all aspects of the trip are detailed, and all documentation is saved appropriately.
- To be part of the 'out of hours' phone rota (approximately 5 times per year, remunerated).
- Potentially assist groups on tour, or at UK departure airports/ports, by acting as a 'Tour Rep'.
- Visit destinations as part of ongoing training, and to audit and review our suppliers.
- Answer the telephone and help with booking enquiries.
- Any other tasks that the business requires.
- Attend and present at school parents' evenings as required both remotely and in person.
Required skills/knowledge
- Experience of working in the travel industry, either in the UK or in destination, is highly desirable.
- Must be able to demonstrate knowledge and understanding of multiple destinations and subject areas.
- Possess excellent organisational and admin skills.
- Demonstrate a proactive approach to their daily work, while being able to prioritise tasks.
- Ability to build and develop relationships with colleagues, suppliers and customers.
- Show an outgoing and confident personality.
- Possess good communication skills.
- Demonstrate a can-do attitude.
- Must have a high level of written and spoken English (Grade C or above at GCSE or equivalent).
- A second language would be highly desirable.
