What precautions are being taken to ensure it will be safe for us to travel?

The safety of our groups is always our top priority.

We're working closely with hoteliers, coach companies and other suppliers to ensure that rigorous hygiene and health and safety standards compliant with Covid-19 guidelines are put in place.

Your Itinerary Coordinator will discuss this in detail with you and will advise you on the local restrictions and guidelines in the destination you're visiting.

You can also find up-to-date information on the rules within EU destinations and travel to them (including transit through other countries) on the Re-open EU website.

And we would also recommend that you check the FCDO website for up-to-date information regarding travel to and from the UK.

What if someone has to drop out of the trip because they test positive for Covid-19 or are told to self-isolate by NHS Test and Trace?

Our insurance providers offer cover for individual cancellations if an individual tests positive for Covid-19 or is instructed to self-isolate by NHS Test and Trace within 14 days of departure.

What happens if the FCDO advises against travel to our destination, or a country we have to travel through to reach our destination?

If you book a school trip with us by 18th February 2022, you'll be covered by our Covid Guarantee which, in this case, would allow you to postpone your trip to a later date†.

If the FCDO advice changes within 30 days of your departure, you could still choose to postpone your trip to a later date, or you could cancel your trip and we would provide you with a full refund†.

What happens if the country we're going to, or a country we have to travel through, moves on to the red list?

If you book a school trip with us by 18th February 2022, you'll be covered by our Covid Guarantee which, in this case, would allow you to postpone your trip to a later date†.

If the country you're going to, or a country you have to travel to, moves to the red list within 30 days of your departure, you could still choose to postpone your trip to a later date, or you could cancel your trip and we would provide you with a full refund†.

What happens if quarantine is required upon arriving in our destination?

If you book a school trip with us by 18th February 2022, you'll be covered by our Covid Guarantee which, in this case, would allow you to postpone your trip to a later date†.

If quarantine restrictions were announced within 30 days of your departure, you could still choose to postpone your trip to a later date, or you could cancel your trip and we would provide you with a full refund†.

However, if quarantine is required for non-vaccinated passengers, and members of your group are eligible for the vaccine but have chosen not to take it, they would not be covered by the Covid Guarantee or the insurance policy, because this is a matter of personal choice. In this circumstance, normal cancellation charges would apply.

Can you offer insurance for individuals in case they need to drop out of the trip?

Our insurance providers can now offer cover for individuals needing to drop out of the trip in the following circumstances:

  • Because a Qualified Medical Practitioner has diagnosed them as positive for Covid-19 within up to 14 days of departure
  • Because they have been hospitalised due to Covid-19 within up to 28 days of departure
  • Because they have been told to self-isolate by NHS Test and Trace for a period of time that prevents them from taking the trip

The insurance also covers reasonable additional costs of accommodation and flights should an individual contract Covid-19 and have to self-isolate while abroad.

And the policy also covers reasonable additional costs to account for a family member to come across or a group leader/teacher to stay with the individual.

Will the insurance policy cover a student if they contract Covid whilst away?

If having to quarantine abroad, should the individual contract Covid and have to isolate, then yes, the individual would be covered for any additional expenses, and then the policy also covers the reasonable additional costs to account for a family member to come across or group leader/teacher to stay with the individual, in a similar way to what would happen traditionally should an individual have to remain in hospital once the group returns home for a traditional medical emergency.

The entry requirements are for passengers to be fully vaccinated, however, we have students who have chosen not to be vaccinated. Will they be able to cancel and claim a full refund if entry requirements do not change between now and departure?

In terms of the insurance policy, this is quite clear cut and would not cover a passenger who does not meet the entry requirements of the destination country, much like it wouldn't cover you for not renewing a passport.

Halsbury's Covid Guarantee was designed to cover the whole group if Halsbury were unable to fulfil the tour due to blanket advice, such as national lockdown, no DfE permission, FCDO advice or red list quarantine.

In this instance, Halsbury could fulfil the trip with all the vaccinated passengers and the trip could run. Therefore, those students who have made a choice not to be vaccinated would not be covered if cancelling or being refused entry to the destination country. This scenario would be deemed disinclination to travel and will be treated in the same way as not arranging a visa if required, or having a valid passport.

The entry requirements are for passengers to be fully vaccinated however due to having already had Covid we have passengers who will not be able to get their final jab in time for the trip. Will they be covered by the insurance or Halsbury's Covid Guarantee?

In terms of the insurance policy, this is quite clear cut and would not cover a passenger who does not meet the entry requirements of the destination country, much like it wouldn't cover you for not renewing a passport.

The Covid Guarantee is designed to cover the whole group when Halsbury cannot fulfil the tour due to blanket advice, such as a national lockdown, no DfE permission, FCDO advice or red list quarantine. In this instance, Halsbury could fulfil the trip with the vaccinated passengers and the trip could run, although there may be individuals who fall between the gaps.

Advice is changing quite regularly at the moment and some countries will accept proof of recovery in lieu of vaccination. Therefore, we will review each occurrence and firstly see if there is a solution that covers the passenger for the same entry requirement.

The entry requirements are for passengers to be fully vaccinated and for passengers to be able to prove this, for instance, by using the NHS app. At the moment, 12-15-year-olds cannot access their records via the NHS app, so how do we get around this?

At the moment, the digital NHS Covid Pass on the NHS app is only available to over 16s.

However, fully vaccinated under 16s can obtain an NHS Covid Pass letter for travel via the NHS website.

Regarding the unlikely scenario whereby one or more teachers on the trip catch Covid prior to departure and no replacements can be found, resulting in the trip being cancelled, would the insurance cover that eventuality?

No, the insurance policy would not cover the full group if the school could not fulfil their requirements by providing enough responsible adults to maintain the ratio. The school should be planning for such an eventuality and ensure that they have back-ups available who do not come into contact with each other in advance of the trip taking place.

What happens if the DfE advises against overnight residentials/overseas school trips to our destination?

The DfE has announced that international school trips can take place from September 2021.

What happens if local or national lockdown restrictions prevent us from travelling?

What happens if local restrictions in the destination impact the primary purpose of our school trip?

What if the Christmas market we are visiting is cancelled (Christmas markets trip only)?

If you book a Christmas markets school trip with us by 18th February 2022, you'll be covered by our Covid Guarantee which, in this case, would allow you to postpone your trip to a later date†.

If the Christmas market you will be visiting is cancelled within 30 days of your departure, you could still choose to postpone your trip to a later date, or you could cancel your trip and we would provide you with a full refund†.

What if the ski resort we are due to visit is closed due to restrictions (ski trips only)?

If restrictions mean the ski resort is closed within 30 days of your departure, you could still choose to postpone your trip to a later date, or you could cancel your trip and we would provide you with a full refund†.

What if local restrictions mean we're not able to perform concerts in our destination (music tours only)?

If you book a school music tour with us by 18th February 2022, you'll be covered by our Covid Guarantee which, in this case, would allow you to postpone your tour to a later date†.

If the advice regarding public performance in your destination changes within 30 days of your departure, you could still choose to postpone your tour to a later date, or you could cancel your tour and we would provide you with a full refund†.

What if local restrictions mean we're unable to play sports fixtures against local teams in the destination (sports tours only)?

If advice regarding team sports in your destination changes within 30 days of your departure, you could still choose to postpone your tour to a later date, or you could cancel your tour and we would provide you with a full refund†.

How will we know what the local restrictions are in the destination we're visiting?

Your Itinerary Coordinator will advise you on the local restrictions and guidelines in the destination you're visiting.

And we would also recommend that you check the FCDO website for up-to-date information regarding travel to and from the UK.

My school has RPA insurance, are we covered to go on a school trip?

The DfE has announced that international school trips can take place from September 2021.

Therefore, the RPA insurance scheme will cover schools for new trips booked after 1st September 2021.

Is the money I’ve paid to Halsbury Travel safe if the company ceases trading?

Whilst we are very optimistic about the future, we understand that these are uncertain times.

In the unlikely event that Halsbury Travel was to cease trading, our ABTA (Association of British Travel Agents) bonding and ATOL license protects all refunds that would be due for a trip that has not yet taken place.
