Top Tips for Getting Your School Trip Approved

Our top tips for getting your school trip approved.

Before you can launch your trip, you need to gain approval from the ‘powers that be’. Their main concerns will be the value of the trip, the safety of students and the reliability of your tour operator.

Here's our guide to getting your school trip approved:

What’s the value of the trip?

Of course, when you take pupils abroad you’re not only taking them off timetable, but also any staff members that accompany you.

So you’re going to have to convince the ‘powers that be’ that your trip offers enough educational value to the students that it justifies the cost in both time and money in arranging cover etc.

Now, you’ll have likely chosen a destination for your school trip that has plenty of activities to support the curriculum and meet your learning objectives.

For example, if you’re a French teacher and you want to take your students to a French language school in Montpellier, the educational value is clear and easy for you to explain.

But don’t forget to mention the other amazing benefits that school trips abroad offer students.

They’ll gain greater intercultural understanding from visiting another country, and will become more independent too, as they take responsibility for their own property and timekeeping.

To help you with this step, we’ve put together a video explaining these added benefits and the #powerofschooltrips.

And we’ve also prepared a PowerPoint presentation that neatly sums these benefits up.

How will you keep students safe?

In order to gain approval for your trip, you’ll need to demonstrate that you’ve considered how you’ll ensure the health and safety of the group.

Of course, this means performing a risk assessment. As you are the one who best understands your group’s requirements, it must be you that carries this out.

However, you can lighten your workload by booking with a tour operator, like Halsbury, who is an Assured Member of the School Travel Forum and has taken responsibility for the creation and implementation of a Safety Management System. This will save you time in crucial areas such as transport and accommodation.

How reliable is the tour operator?

The next step is to reassure the ‘powers that be’ that your chosen tour operator is reputable and will prioritise the health and safety of students.

If you’ve chosen Halsbury (and we’ll presume that, as you’re reading this, you have!), then you may want to give them this handout, which provides more information on us and our accreditations:

Essentially, our accreditations are your reassurances that we’re a reputable, school travel specialist.

We’re ABTA bonded and our flight packages are ATOL protected, which means that you’re financially protected.

We’re also an Assured Member of the School Travel Forum and have taken responsibility for putting together our own Safety Management System, demonstrating our commitment to prioritising the health and safety of our groups.

And we’ve received the Learning Outside the Classroom Quality Badge, which demonstrates that we offer activities that are safe and beneficial to learning.

On top of all that, we’ve been arranging school trips for over 30 years, 1986 when we were founded by a former teacher, Keith Sharkey, who remains at the helm alongside his wife, his children and a dynamic team of school travel specialists.

We hope this will help you to get your school trip approved. Of course, if you require any further information or advice, please don’t hesitate to contact us.
