Organising a school trip

Organising a school trip or group tour with us is easy and we promise to support you all the way.
We realise you might have a lot of questions and worries and hope you will find this group leader section helpful. You are always welcome to contact us.
Step 1
- Ensure the tour operator is suitable for school trips and ensure they are fully bonded for a coach or air trip.
- Find a destination suitable for your interests and aims. Remember we can tailor the trip to your requirements.
- Contact us for a price quotation and any further information you would like to know.
- Seek approval from your Headteacher
Step 2
- Check availability of accommodation/crossings/coaches with Halsbury
- Promote the trip in your school - Free promotional materials
- Seek agreement from parents. You can adapt our sample letter
- Collect deposits from students. You can use our tracking payment card
- Contact Halsbury if passenger numbers are significantly lower or higher than expected.
Step 3
- Make sure to read our booking conditions. (Your contract will be concluded in English)
- Download and fill-in a booking form and send it to Halsbury with deposits. View our download section
- Receive an acknowledgment pack containing invoice, insurance documents (if appropriate) and fax completed forms back.
Step 4
- Contact will be made by your itinerary planner at Halsbury.
- Arrangements will be made in consultation with you to finalise the details of your trip and receive our final pack detailing all useful info for your trip.
